Tips about sharing diagrams

Hello!

My name is Megumi and I’m a member of Cacoo Support Team.

Have you ever tried sharing feature of Cacoo?  You might have seen it on the Tour page but it’s kind of difficult to understand how it works and where to start.

We have received some inquiries about sharing feature lately so I want to clarify it here.  Sharing diagrams is fun and very convenient so we want you to try it out if you’ve never done so yet.

To share diagrams, you need to invite your team members, clients, or whoever you wish to work on the diagram with.  There are 2 places you can invite your sharers.

1. From the diagram detail page

When you choose one of the diagrams from the list page, you reach the diagram detail page.

Click “Edit” in Sharers box, located on the right hand side of this page.

Enter the email addresses of people you want to invite to your diagram and press “Invite” button. The name of sharers will appear immediately if the invited person has a Cacoo account. (If the invited person does not have an account, his/her name will appear when he/she signs up.)

2. From the editing page

You can also invite sharers from the toolbar of the editing page.

When you press “Share” button, Share panel opens.  Enter the email addresses of people you want to invite to your diagram and press “Invite” button.

* Invited users can edit diagrams even the diagram is not saved as “Open diagram to public by URL” for “Security” option. Sharing is good for diagrams that need to be kept confidential.

* If you don’t want other people to edit your diagram, please set “Open diagram to public by URL” for “Security” option and let the people know the URL. Even people without Cacoo account can view the diagram.

* If you choose “Everyone can edit” in Save panel, this will allow anyone to edit the diagram, which means you don’t need to do the inviting process.

* If you have many diagrams to share, we recommend Shared Folders. (We’ll introduce more about Shared Folder in the next post.)

There is also Chat feature on Cacoo, you can feel all the team members are working in the same room even if they are working on the diagram remotely.

The Stencils of Cacoo – including iPhone and iPad stencils for wireframing

When creating diagrams with Cacoo, most people drag and drop from our selection of stencils. When we release an update to Cacoo, we usually try to include some new stencils in order to increase the types of diagrams you can create with Cacoo.

If there are certain stencils you would like to have added to Cacoo, please contact us and let us know what types of stencils you would like.

How to take screen shots with Cacoo

Cacoo has many features that are largely unknown to most users. In order to educate people about these features, we will write blog posts containing tips on how to use these features and get the most out of Cacoo. Our first tips post is Cacoo’s screen capture functionality.

When creating wireframes or educational diagrams you can open up a different tab in the browser and view a website with images you want to include in the diagram. You can then enable the screen capture mode and take screen shots of parts of the website you would like to include in the diagram.

Because you can take screen shots from within the browser, you don’t need to save images to your computer and then upload them to Cacoo. You can also crop and resize images in Cacoo diagrams.

Please give the screen shot functionality a try!

Please be aware of the following points when using the screen shot functionality.

  • Your browser must have the Java plugin installed.
  • It takes about 10 seconds for the screen shot application to start up.
